Who this policy covers

This policy applies to two groups: prospective renters who inquire about a rental property, and property owners and managers who use LeaseOS to manage their listings.

Information we collect

From prospective renters. When you submit an inquiry about a rental property, we receive your name, email address, phone number, and the property you inquired about. As you interact with our leasing assistant, we may also collect information you choose to provide about your rental needs, such as your desired move-in date, household income range, whether you have pets, and whether you will have a guarantor. If you proceed with an application, you may upload supporting documents such as identification, pay stubs, or bank statements.

From property owners and managers. We collect account information including name, email address, phone number, business name, and the details of the rental listings you create.

Automatically. We collect standard technical information such as IP address, browser type, device information, and pages visited, along with records of messages sent and received through the platform.

How we use information

We use the information we collect to operate the leasing process: responding to your inquiry, answering questions about a property, scheduling and confirming tours, sending reminders and follow-up messages, collecting application documents, and sharing your inquiry and application information with the property owner or manager for that listing so they can make a leasing decision.

We also use information to operate, secure, and improve the platform, and to comply with legal obligations.

SMS and text messaging

LeaseOS operates two separate, optional SMS programs. Both require affirmative opt-in through a checkbox that is unchecked by default, and neither is a condition of using the service.

Prospective renters. After you inquire about a rental property, you receive a secure LeaseOS link by email that opens the listing and tour form. On that form you may enter your name, email, and phone number and check an optional consent box to receive recurring automated text messages about your rental inquiry, tour scheduling, application updates, and related leasing communications. You can schedule a tour without agreeing to receive text messages.

Property owners and managers. Within your LeaseOS account settings, you may enter your mobile number, check an optional consent box, and verify the number with a one-time code to receive recurring automated operational text messages about new rental inquiries, property-match issues, scheduled or rescheduled tours, and related leasing activity. You can continue using LeaseOS and receive email alerts without enabling SMS.

For both programs, message frequency varies based on your activity. Message and data rates may apply.

We do not share, sell, or rent your mobile phone number or SMS consent to any third party for marketing purposes. A renter's mobile number is used only to communicate about the property they inquired about, and is shared only with the property owner or manager for that listing and with the messaging providers we use to deliver messages on our behalf.

You can opt out at any time by replying STOP to any message, whether or not that particular message includes opt-out instructions. You will receive one confirmation message and no further messages. Reply HELP for assistance, or contact us at trevor@leaseos.ai.

We maintain consent records that include the phone number, timestamp, consent source, disclosure version, and current opt-out state.

How we share information

We share information in the following circumstances only:

• With the property owner or manager for the listing you inquired about, so they can respond to you and evaluate your application.
• With service providers who help us operate the platform, including our messaging provider, our hosting and database providers, and our AI provider, which processes conversation content in order to generate responses. These providers are permitted to use your information only to provide services to us.
• When required by law, or to protect the rights, safety, or property of LeaseOS, our users, or the public.
• In connection with a business transfer, such as a merger or acquisition, subject to this policy.

We do not sell your personal information.

Data retention

We retain inquiry and application information for as long as needed to provide the service and for a reasonable period afterward, and as required by applicable law, including fair housing and tenant screening record-keeping requirements. You may request deletion of your information as described below.

Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit, access controls, and restricting access to your data to the property owner or manager for the listing you inquired about. No method of transmission or storage is completely secure.

Your choices

You may opt out of text messages at any time by replying STOP. You may request access to, correction of, or deletion of your personal information by contacting us at trevor@leaseos.ai. Depending on where you live, you may have additional rights under applicable privacy law.

Fair housing

LeaseOS is used in connection with residential rental housing. We do not use race, color, religion, sex, national origin, familial status, disability, sexual orientation, gender identity, source of income, or any other characteristic protected under federal, state, or local fair housing law as a basis for how our platform responds to or evaluates a prospective renter.

Children

LeaseOS is not directed to children under 18, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the "Last updated" date above.
